Overview

StockPilot ("we", "us", or "the app") is a real-time inventory management tool that helps businesses track stock levels, automate reordering, and manage supplier relationships. This policy explains what information we collect, how we use it, and the choices you have.

Information you provide

When you create an account, you provide your email address and a password. During business setup you may enter a business name, industry, address, and an alert email. You and your teammates may also add inventory items, supplier contact details, orders, sales records, lot numbers, and notes you choose to record.

Information collected automatically

We log basic usage data such as authentication events and feature interactions to keep the service running and improve it. If you connect Square, we retrieve catalog and order data you authorize so that stock levels and sales can sync.

How we use your information

• To operate your inventory, orders, suppliers, forecasts, and team access.
• To send low-stock and reorder alerts to the alert email you configure.
• To process subscription payments and manage your Pro plan status.
• To provide support and respond to your requests.
• To improve the app's features and reliability.

Payments

Subscription payments are processed by our payment provider, Base44 Payments (powered by Wix). We receive a confirmation of your subscription status; payment card details are handled by the provider and never stored by StockPilot.

Data sharing

We do not sell your information. Your business data is only visible to you and the teammates you invite, and only within the business you belong to. We may share limited data with service providers that help operate the app (such as hosting, email delivery, and payment processing) under appropriate confidentiality obligations, or when required by law.

Data retention and deletion

We keep your data for as long as your account is active. You can delete your business data and account at any time from Settings, after which it is permanently removed.

All data collected by StockPilot is encrypted in transit. Communication between your device and the app — including your account details, inventory, orders, and supplier records — travels over HTTPS using industry-standard TLS encryption, the same protection used for online banking. This covers every part of the service:

• App and account data: all requests to StockPilot and its database are sent over encrypted HTTPS/TLS connections.
• Payments: subscription checkout and payment confirmations are processed by Base44 Payments over its encrypted checkout and webhook endpoints; your card details never pass through or are stored by StockPilot.
• Square integration: when you connect Square, catalog and order data is transmitted only through Square's HTTPS-only API, and connection credentials are stored server-side as encrypted secrets.

We also use reasonable technical and organizational measures to protect your information, including access controls that isolate each business's data. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Your choices

• Update or delete inventory, suppliers, and orders at any time within the app.
• Invite or remove teammates from your business.
• Disconnect Square or cancel your subscription at any time.
• Delete your account and associated data from Settings.
